Wisconsin Librarians Presenting at the Midwest Interlibrary Loan Conference

It's not too late to register for the Midwest Interlibrary Loan Conference to be held at Loras College in Dubuque on Friday, April 9. This event, held every two years, provides an opportunity to meet your colleagues from neighboring states. Wisconsin is well represented in the programs with the following presentations.

Rod Lysenko, ILL and Reference Librarian at Edgewood College in Madison, will give a talk titled The Custom Holdings Advantage where he describes how he uses OCLC's custom holdings to make the process more efficient with an emphasis on cost and delivery time. He reports that 95% of Edgewood's requests were filled through custom holdings with 84% of the requests coming from free lenders in the Midwest.

Heather Weltin and Stephanie Harris from UW-Madison are featured in a presentation entitled Interlibrary Loan on a Shoestring: Sharing Responsibilities Across Departments. Heather and Stephanie are responsible for ILL borrowing on the UW-Madison campus and their program will show how they have incorporated staff from other library departments to improve service with fewer staff.

The last Wisconsin presenter is John Leonard Berg, Coordinator of Public Services from the University of Wisconsin - Platteville, who will speak on Successful ILL Practices for Distance Education Students. He will describe his institution's policy of providing parallel service to distance education and on-campus students.

Dave Paulson, Resource Sharing Manager at Minitex, also has an intriguing program titled Mainstreaming ILL in Minnesota: Minitex Desktop Delivery and the MnLINK Gateway where he describes two services: MnLINK Gateway and Minitex Electronic Document Delivery (MEDD) that have changed how interlibrary loan works in Minnesota.

A complete list of all the programs along with registration information can be found at Midwest Interlibrary Loan Conference.

A Look at Resource Sharing in Wisconsin's Public Libraries

At this year's Wisconsin Association of Public Libraries (WAPL) annual conference in Sheboygan being held from April 28-April 30, WLA's Resource Sharing Roundtable (RSRT) is sponsoring a program titled A Look at Interlibrary Loan in Wisconsins Public Libraries.

Martha Berninger, WISCAT Interlibrary Loan Supervisor at the Reference and Loan Library, and Bob Shaw, ILL Services Librarian at WiLS, will initially do an overview of how interlibrary loan is done in Wisconsin's public library systems. Each of Wisconsin's seventeen library systems is autonomous and each of those systems has developed different methods in dealing with resource sharing. Through the use of maps and charts they will compare and contrast methods used — e.g., WISCAT vs. OCLC, centralized vs. decentralized processing, patron-initiated requesting, etc. Following this overview, a representative from a Wiscat system, Charles Clemence, Resource Consultant, Winding Rivers Library System, and a representative from an OCLC system, Beth Price, ILL Librarian, Madison Public Library, will provide a more specific view on how interlibrary loan is done in their respective library systems.

In a couple of weeks, a questionnaire will be sent to the ILL coordinators for each of the seventeen library systems. The answers will be massaged and analyzed in preparation for the program. If you have any questions that you would like to be included in the questionnaire, please send them to Bob Shaw at reshaw@wils.wisc.edu.

Registration is now open for the WAPL conference.

How WiLS ILL Works

One of the things that WiLS staff has learned during its site visits over the last few months is that there seems to be confusion about how interlibrary loan works on the UW-Madison campus so I thought I would try to summarize in a few paragraphs.

WiLS only does the lending for the UW-Madison libraries and the Wisconsin Historical Society library. Most of the holdings in OCLC are under the GZM symbol; however some of the UW-Madison libraries have their holdings under their own symbol: GZH (Ebling Medical Library), GZI (Merit Library), GZL (Law Library), WID (Library School Library, WIY (Primate Library). If you see any of those symbols in OCLC holdings, you should substitute GZM in the lending string. WiLS has a separate ILLiad license for WIH (Wisconsin Historical Society Library) so OCLC requests can be sent directly to WIH. The gzi symbol is lower case in OCLC which usually means non-supplier, but in this case all of their collection is available by putting GZM in the lending string. So a quick and dirty policy—anything you want from a UW-Madison library should be sent either to GZM or WIH.

WiLS does not do the borrowing for campus libraries. So if you ever see the symbols GZM, GZH, GZI, GZL, WID, and WIY where those libraries are trying to borrow from you, those requests are not generated by WiLS but rather by the ILL borrowing shop at the respective UW-Madison library.

How much does GZM charge as a lender? If you are a Level 1 or a Level 2 member, our charge is $6.40 per loan or article. That amount is deducted from your deposit account.

However for the University of Wisconsin campuses (both 2-year and 4-year), the cost is covered by the UW System "Intra System Lending" (aka Net Lender project) fund, not your particular campus.

Requests received from public libraries to WiLS via Wiscat are also paid by money in the state contract. And OCLC public libraries have money in the state contract for them.

Wisconsin libraries might see GZY (WiLS) as the borrower. WiLS has a referral system for libraries in the state without access to OCLC and we do occasionally borrow under the GZY symbol. If your library fills a request for GZY, your deposit account will be a $6.40 credit.

All of this information can also be found on the WiLS ILL web page.

If you have any questions regarding WiLS and interlibrary loan, please contact me at reshaw@wils.wisc.edu.

ILLiad 8.0 Starter Kit

ILLiad 8.0 Starter Kit ILLiad 8 is a very different tool then what most long time ILLiad users are accustomed to. To provide background information to help you better understand what is under the hood and how to set it up, WiLS ILL provided a webinar about 8.0 this past week. This instructional webinar covered technical setup, workflow shortcuts, navigation changes and pitfalls to avoid when getting started with implementing ILLiad 8.0. If you were unable to attend but are interested in getting more information about 8.0, please listen to our recording. If at any time you have questions or concerns about the use of 8.0, please feel free to contact Eric Robinson (erobinson@wils.wisc.edu).

UNIVERSITY OF WISCONSIN MADISON COLLECTION
Since 1948 the University Communications Library has served the research needs of University Communications staff by maintaining a collection of university-related newspaper and magazine clippings, collecting university publications, providing information to answer queries about the university's history, and preserving materials to be transferred to the UW-Madison Archives and Records Management Service. This batch of materials includes material about Bucky Badger, James Graaskamp and more.

University of Wisconsin Madison Class Albums
From at least 1872 until the early 1890s, when the Badger yearbook seemed on pretty firm footing, most classes at the University of Wisconsin created a class album. All of the albums have photographs of students, and sometimes faculty members. Many of the albums also have autobiographical essays, and some include a history of the class, usually written by the class historian. These albums are invaluable sources for the early history of students on campus. This batch of material completes this project.

Wisconsin Badger Yearbooks

The first yearbook of the University of Wisconsin was published in April 1884 and called the Trochos, which is a Greek word for badger. This publication is the record of note for student life and campus events as well as a fantastic resource for learning more about local, state and world events and their impact on the UW Madison. We have just added yearbooks for 1977-2009, bringing our collection completely up to date.

Please let me know if anything above would be of use to you.
